Job Description: Bid Coordinator (Muscat, Oman)

Majan is expanding, and we are looking for a motivated Bid Coordinator to join our team in Muscat. This critical role will focus on managing the bid process, ensuring the delivery of high-quality proposals that align with client requirements and company standards. Key Responsibilities

  1. Bid Management
    • Coordinate the end-to-end bid process, including proposal planning, development, and submission.
    • Develop and maintain a bid schedule to ensure all deadlines are met.
    • Liaise with internal teams to gather the necessary information and documentation for bid submissions.
  2. Content Development
    • Draft, format, and edit proposal content to align with client requirements.
    • Tailor bid responses to showcase the company’s capabilities and competitive advantages.
    • Maintain a library of standard bid templates and responses for future use.
  3. Collaboration and Communication
    • Work closely with technical and project teams to ensure the accuracy and relevance of proposal content.
    • Act as the main point of contact for bid-related inquiries, both internally and externally.
    • Collaborate with senior management to review and approve bids before submission.
  4. Compliance and Quality Assurance
    • Ensure all proposals comply with client specifications and submission guidelines.
    • Conduct quality checks to maintain consistency and high standards in all bid documents.
  5. Market Research and Intelligence
    • Research potential opportunities and upcoming tenders relevant to the Oman and Saudi markets.
    • Monitor industry trends and competitor activities to strengthen bid strategies.
  6. Reporting and Record-Keeping
    • Track the progress of bids and maintain a database of submitted proposals and outcomes.
    • Provide regular reports to management on bid activity and success rates.

Qualifications and Experience

  • Education:
    • Bachelor’s degree in Business Administration, Communications, Marketing, or a related field.
  • Experience:
    • Minimum 3–5 years of experience in bid coordination, proposal writing, or a related role, preferably in the engineering, construction, or consultancy sectors.
    • Familiarity with the bidding processes in Oman and Saudi Arabia is a strong advantage.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
    • Knowledge of bid management software is a plus.
  • Core Competencies:
    • Excellent organizational and multitasking skills.
    • Strong written and verbal communication skills in English; Arabic is an advantage.
    • Attention to detail and the ability to work under pressure to meet deadlines.
    • Analytical mindset with the ability to interpret client requirements and develop tailored responses.
